This Speaker Policy ("Policy") is part of our Terms of Use (Terms & Conditions) ("Legal Terms") and should therefore be read alongside our main Legal Terms: Terms & Conditions Policy and Privacy Policy. If you do not agree with these Legal Terms, please refrain from using our Services. Your continued use of our Services implies acceptance of these Legal Terms.​​

WHO WE ARE

 

We are Aimfluance LLC ("Company," "we," "us," or "our") a company registered in Austin, Texas. We operate aimfluance.com as well as any other related products and services that refer to or link to this Policy (collectively, the "Services").

 

 

PURPOSE

This policy outlines the terms and conditions for speakers participating in any Aimfluance LLC online conference. By submitting a proposal, speakers agree to abide by these terms.

TERMS & CONDITIONS

Submission and Selection

  • All proposals must be submitted through the designated submission portal by the specified deadline (if any).

  • Aimfluance LLC reserves the right to accept or reject any proposal at its discretion. Selection criteria may include relevance, originality, and alignment with conference themes.

Speaker Content and Product Demo Policy

  • To maintain the quality and integrity of our event, all presentations and demos must deliver deep, insightful, and actionable information. Vendor-driven talks, sales pitches, or promotional content are strictly prohibited. We encourage speakers to avoid small talk, hype, or superficial discussions.

  • Presentations should prioritize:

- Real-world case studies and practical applications.

- Meaningful, data-driven insights.

- In-depth technical or conceptual discussions.

  • Product Demo Guidelines:

- Our event will showcase interactive demonstrations and hands-on experiences to emphasize practical engagement.

- The goal is to enable attendees to explore new technologies and tools in a tangible way through live, impactful demonstrations.

  • Demos must:

- Highlight real-world use cases and practical applications.
- Deliver actionable insights and practical takeaways for participants.
- Offer interactive, hands-on engagement opportunities for a global audience.

  • Speakers and partners are encouraged to demonstrate how their solutions:

- Solve unique and complex challenges.
- Push boundaries while delivering measurable impact for clients and broader global communities.

​

  • By focusing on practical experiences and interactive showcases, speakers and partners must ensure that attendees leave with a deeper understanding and actionable knowledge of AI technologies and solutions.

  • Failure to adhere to these guidelines may result in disqualification from this event and exclusion from future opportunities.

Content Ownership and Rights

  • By submitting a proposal, the speaker grants Aimfluance LLC a non-exclusive, royalty-free, perpetual, and worldwide license to use, reproduce, publish, and distribute the presentation content in any format (including but not limited to video, audio, and written materials) for promotional, educational, and archival purposes.

  • Speakers retain all ownership rights to their original content but agree that all content shared during the conference must comply with Aimfluance LLC's terms and conditions and avoid any prohibited content. Aimfluance LLC will not be held responsible for any violations arising from the content shared during the conference.

  • Speakers consent to the promotion of their names, company titles, and bios in connection with the conference, including in marketing materials, on the conference website, and through social media channels.

  • Aimfluance LLC reserves the right to remove any content that it deems inappropriate or that violates its terms and conditions, without any liability to the speaker or any third party.

Privacy and Confidentiality

  • Speakers are responsible for ensuring that any proprietary or confidential information shared during their presentations is disclosed with proper consent and is compliant with applicable laws.

  • Aimfluance LLC will take reasonable measures to protect the privacy of speakers. However, by participating, speakers acknowledge that their presentations may be recorded and distributed, and they consent to such recording and distribution.

Code of Conduct

  • All speakers are expected to adhere to a code of conduct that promotes respect, inclusivity, and professionalism. Any speaker who violates this code may be disqualified from participating in the conference.

​

Compensation and Expenses

  • All conferences are free and online-only, and Aimfluance LLC will not provide any compensation to speakers for their participation. Speakers are solely responsible for any costs associated with their presentations, including but not limited to internet access, software, and equipment.

​

Deadlines

  • Speakers must adhere to all deadlines provided by Aimfluance LLC, including submission of presentation materials and final confirmations of participation.

​

Liability

  • Aimfluance LLC shall not be liable for any indirect, incidental, consequential, or special damages, including but not limited to loss of profits, revenue, or data, arising from or in connection with the conference, the content presented by speakers, or any materials distributed during the event, regardless of the form of action (whether in contract, tort, or otherwise) and even if Aimfluance LLC has been advised of the possibility of such damages. This limitation of liability applies to all forms of damages, including those arising from negligence.

  • Speakers are responsible for their own equipment and internet connection during the event. Aimfluance LLC shall not be responsible for any technical difficulties, interruptions, or failures that may occur during the speaker's presentation or for any issues related to the speaker's hardware, software, or internet service.

Indemnification

  • Speakers further agree to assume full responsibility for any claims, damages, losses, or liabilities arising from their presentations, including any claims made by third parties, and to indemnify and hold harmless Aimfluance LLC, its officers, employees, and agents from any such claims.

​

Withdrawal Rights

  • Speakers have the right to withdraw their participation at any time before the conference. To do so, speakers must notify Aimfluance LLC in writing at least 14 days prior to the event.

  • Upon withdrawal, any submitted content will be removed from consideration for the conference, and Aimfluance LLC will not be held liable for any claims related to the withdrawal.​

Modifications

  • Aimfluance LLC reserves the right to modify this policy at any time. Changes will be communicated to speakers, and continued participation in the conference constitutes acceptance of the modified terms.

​

Severability

  • If any provision of this policy is found to be unenforceable or invalid, the remaining provisions will continue to be valid and enforceable.

​

Governing Law

  • This policy shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of laws principles.
